Home terms and conditions

Please read these Booking Conditions carefully as they explain a number of important things and set out our respective rights and obligations.
By booking a Tour you acknowledge that you have read, understood and agree to be bound by these Terms. If you make a booking on behalf of other participants, you guarantee that you have the authority to accept and do accept these Terms on behalf of the other participants in your group.

The following booking conditions form the basis of your contract with Signature Tours and Travel Ltd. Please read them carefully as they set out our respective rights and obligations. By asking us to confirm y /our booking, we are entitled to assume that you have had the opportunity to read and have read these booking conditions and agree to them.



Bookings

Bookings can be made to our office by email: info@signaturetoursandtravel.com. We will reply to your enquiry within 12 hours. The booking will be processed as soon as we have received the customer‘s confirmation.

  • Signature Tours and Travel Ltd reserves air tickets, accommodation bookings, provides transportation, excursions among other services.
  • To reserve flights, gorilla permits and chimpanzee permits, the client should provide full names as they appear in the passport, passport number as well as their nationality.
  • The Company reserves the right not to confirm the booking until the full amount set out in the invoice received by client is paid and has been received by the Company and all the relevant documentation has been completed in full by the client.
  • Any amendments to, or cancellation of the booking shall be subject to these terms and conditions.

Deposit and Payment

  • Once the client confirms the booking, Invoices are issued on booking confirmation, 30% payment is required at 60 days prior to departure and full payment is due 30 days prior to the departure date.
  • If a booking is made within 60 days of the tour departure date, 50% payment is required on booking. If the booking is made within 30 days of the tour departure date, 100% payment is required on booking. Non-payment of stipulated percentage at time of confirmation, within 60 days of tour departure date, will result in the cancellation policy being applied
  • When booking a tour that includes a Gorilla Trekking Permit, immediate payment for the permit is required in order to secure the trekking permit. This payment is non-refundable.
  • Payment can be made by bank transfer, Visa credit card or by received in cash before the safari /tour starts under the payment conditions.
  • Credit Card: If Signature Tours and Travel Ltd accepts payment by Credit Card, a 5% administration fee will be added to the total tour fare for which payment is being made.
  • All Bank Charges will be borne by the client.

Cancellation Policy

Cancellation of a scheduled tour booking must be made in writing and is not effective until such written cancellation is received and acknowledged by Signature Tours and Travel Ltd. Cancellation fees are applied to the tour price, activity package, and pre/post tour services. Special Condition for tours that require a Gorilla Permit: When a client cancels a tour that requires a gorilla trekking permit, the permit price is non-refundable and will be forfeited. The following fees will apply in the event of cancellation:

  • Less than 60days prior to departure - 30% of total cost
  • Less than 45days prior to departure - 50% of total cost
  • Less than 30days prior to departure - 75% of total cost
  • Less than 2 weeks prior to departure - 100% of total cost
  • Local Flight will be non-refundable

Refunds

In case of any Refunds, you will get a credit note which will be adjusted in future bookings. If you need the refunds to be processed in your bank, it will be actioned within three weeks after receiving a written email request from your end. In some cases, it might take few more days depending on the case.

Amendments to Bookings

In the event that the client joins the tour after the departure date, or leaves before the completion for any reason whatsoever, the client shall not be entitled to any refunds or rebates whatsoever from the Company.

  • Should be aware that if a Client wishes to transfer from one tour to another, outside the 60-days prior to departure period, no fee applies
  • Where the client wishes to change tours (that is, to move from the tour confirmed to another tour), such amendment is subject to the Company being able to accommodate the client on the substituted tour;
  • Payment by the client of an administration fee an
  • The change being made by no later than 60 days prior to the departure date of the original tour, failing which the cancellation penalties set out in the terms and conditions shall apply.
  • Changing the date of a tour, within 60 days of the departure, is subject to a fee of 15% of the tour price
  • Changing the date of a tour, within 30 days of the departure, is subject to a fee of 30% of the tour price.
  • On a tour, where a Gorilla Permit has been booked, the full amount Gorilla permits are not refundable.

In the event that a tour is changed, these terms and conditions shall apply to the substituted tour, with the necessary changes having been made.

Passports, Visas and other Travel Papers

It is the client’s sole responsibility to ensure that passports, visas, health certificates, proof of vaccinations and any other required documentation are all in order during the tour. The Company shall not be held liable for any loss or damage to any client’s luggage arising due to circumstances beyond the reasonable control of the company.

Insurance

Travel insurance is a mandatory. You are strongly recommended to extend your coverage to include cancellation, curtailment, and all other expenses that may arise as a result of loss, damage, injury, delay or inconvenience while traveling. Travel insurance coverage is not included in any of the Tours/safaris offered by the company, you are required to obtain one before your tour/journey starts. It is your responsibility to ensure that you have sufficient coverage and comply with the terms of the applicable insurance plans. You are responsible for advising your insurer of the type of travel, destination(s) and activities included in your booking so that the insurer may provide appropriate coverage.

Special Requirements

Any special requirements must be disclosed to the company at the time of booking. Signature Tours and Travel Ltd will use reasonable efforts to accommodate special requirements or requests but this is not always possible given the nature of the destinations visited and availability of options outside a planned itinerary. Certain activities may be inaccessible to you if your mobility is limited in any way. All food allergies and dietary restrictions must be disclosed to the company at the time of booking but the company cannot guarantee that dietary need or restrictions can be accommodated. Any special requests or requirements do not form part of these Terms or the contract between you and the company is not liable for any failure to accommodate or fulfill such requests.

Refund of Unused Services

No refunds or exchanges can be made in respect of accommodation, meals, sightseeing tours, transport or any other services which are included in the Tour price but not utilized by the client.

Changes made by the Suppliers

Regrettably, amendments may sometimes be necessary and errors occasionally happen. We reserve the right to make changes or correct errors at any time both before and after your confirmation. Flight timings, aircraft types and routings, and accommodation are subject to change for operational and technical reasons. If changes need to be made to your itinerary, we will inform you as soon as it is reasonably possible.

Baggage

The client shall be responsible for all baggage and personal effects brought by him or her on the tour, and the Company shall not be liable for any loss or damage to such baggage or personal effect, howsoever arising.

Health

If a client accepts to participate in tours/safaris that require a measure of physical fitness and health and it is the client’s obligation to ensure that he or she is medically fit to embark on the tour. Signature Tours and Travel Ltd will not be responsible if anything happens to the client during the Tour/safari.

Authority on Tour

The client must at all times comply with the laws, customs and foreign exchange regulations of all countries visited during the tour. In addition, the client acknowledges that any disruptive, dangerous or potentially dangerous behaviour during the tour shall not be tolerated and that the Company, its employees, representatives. Agents and/or contractors being so authorized, reserve the right to exclude the client from the tour at any point therein in such circumstances. The Company shall not be liable for any costs and/or expenses for the client resulting for exclusion as aforesaid, and the client shall not be entitled to a refund or rebate of the tour price or any additional compensation in such instances.

Marketing

The Company reserves the right to use any photographs and video taken during the tour for use in marketing or any other advertising material, and the client hereby consents to such use. The client further agrees that the Company shall retain copyright over any such photographs and videos taken during the tour and/or used in its brochures and, to the extent necessary, the client hereby assigns copyright in such photographs and/or videos to the Company.

Unforeseen Circumstances

Unforeseen circumstances including but not limited to war, mechanical breakdowns, weather, riots and other unforeseen reasons beyond the control of the Company may cause delays or alterations to the tour. The Company shall not be held liable in any way for any of these possible occurrences or any consequences, which may arise as a result of these. On booking, the client shall be issued with our tour dossier and pre-departure information documents. It is the responsibility of the client to read and understand these documents before travelling.

Liability

Signature Tours and Travel Ltd is not liable for damage, death, injury, illness, theft or damage / loss of property. Signature Tours and Travel Ltd is not responsible and liable for natural disasters, wildfires, actions from governments or authorities, terrorist attacks, strikes, theft, epidemics, incidents at sea, land and in the air, incidents involving wildlife and other similar incidents outside the control of the company. The company is not liable for the costs / damages for not appearing, coming late or delaying a flight or transfer, as a result of which the trip must be canceled or changed. If local circumstances make it necessary, Signature Tours and Travel Ltd reserves the right to cancel an entire tour or part of it or change the itinerary. Signature Tours and Travel will always do their utmost to prevent any problems. The company is also not liable if the traveler has been able to recover his / her loss under an insurance policy taken out by him, such as a travel and / or cancellation insurance.
